The Superintendent shall personally check every article of the store at least once in six months and record in the remarks column of the store register whether the balance checked on a certain date was correct or incorrect and discrepancies, if any, shall be noted. A note of this check shall also be made in his journal and the discrepancies, if any, shall be reported to the Director General at once. NOTE 1.- The checking of articles shall be so arranged that the Superintendent of prison checks one-half in one quarter which the Deputy Superintendent (Administration) shall check in the second quarter and vice versa. It shall be ensured that every article is checked once in three months either by the Superintendent or the Deputy Superintendent (Administration). The certificate of the check conducted by the respective officers shall be submitted to the Director General by the 1st January and the 1st July each year. The Superintendent on taking over charge, shall examine the books to see what articles have not been checked by his predecessor in the half-year and shall check these during the remaining period of the half-year. NOTE 2.- When shortages are found as a result of a check made in any of the stores or as a result of an audit report by the Accountant-General, Haryana, the Superintendent shall take immediate action to fix responsibility for the shortage and submit his report with recommendations to the Director General for orders.
